Terms, Conditions & Refund policy
Before booking with us, it is important that you read our terms and conditions outlined in the policy below.
Last Updated: January 2024
Here at Kids Go Wild Forest School we aim to provide high standards of professionalism in all of our sessions. Our participants' health and safety is our highest priority, we run our sessions in all weather except torrential rain and high winds/weather warnings. We complete robust risk assessments for all of our sites and activities, if you wish to see our risk assessment, please ask.
All of our team are DBS checked and have outdoor and paediatric first aid certificates along with childcare qualifications and experience. We also hold full public liability insurance for all of our activities with Birnbeck Insurance.
When booking one of our sessions you agree to these terms and conditions.
We try to keep our terms and conditions straightforward, especially concerning our refund policy. We hope you will agree that what we set out here provides clear guidelines of what you can expect from us and what we, in return, expect from you.
Payment for sessions
Card, cash payments, payment by tax-free childcare, childcare vouchers, childcare grant scheme, or payment in advance by BACS transfer is required in advance of attending sessions. Nursery & Home-Education parents will be invoiced each month via our Famly app, (see fees policy for more information).
For stay-and-play, birthday parties and weekend events, payment is made via card on our Bookwhen website.
Private sessions such as school trips, sessions for outside schools and provisions will be paid in advance via invoice.
Cancellation
Whilst there may be times when you need to cancel a session, and whilst we want to be as fair and as reasonable as possible, due to popular demand we often must turn down a request for a refund or a transfer to another session, due to us being fully booked. Therefore, we felt it only fair to outline and when we can or cannot provide a refund.
In the event of cancellation by the forest school for any reason such as, yet not limited to, the weather, site damage, staff illness or unforeseen circumstances: you will have the option to transfer to another session free of charge.
We cannot offer a refund, only in exceptional circumstances at the discretion of the company director. (This does not include our Nursery/Home-Ed group, please see the weather policy and fees policy for more information)
Cancellation due to a child being too ill to attend the session.
We do not offer refunds for child illness as we usually don’t have enough time to fill the place by the time we are notified of the sickness by the parent. However, we will offer you a transfer for your ticket so you can attend a session when your child is well enough. This is subject to us having at least 12 hours, notice before your session is due to start. (again this does not apply to our nursery/home-ed groups).
For party bookings, we will do our best to reschedule your party, however, if this is not possible a refund may be considered by the director.
Cancellation by Parent/Carer
Cancellation with the expectation of a refund for a season-related block booking must be made at least 10 days before the start of the booked-for season or sessions, to allow enough time for others on the waiting list to be allowed to attend.
NB - There are no refunds given for individual sessions missed during a series, or for one-off sessions. This includes stay and play block bookings be it BACS payment via our booking website, as we cannot fill the place for your child if you cancel once the term has started.
Cancellations in respect of a child attending but who has not enjoyed the session.
Whilst we welcome any feedback you may have, we are unable to refund any payment under these circumstances.
Parties
Cancellation before 14 days of the party
For cancelling a party, if you cancel before 14 days of the party you will receive a full refund. If you are within the 14 days before the party date we will not be able to refund you but in some circumstances may be able to reschedule your party (at the discretion of the manager).
Similarly, if the Forest School has to cancel for any reason including bad weather or staff sickness, we will reschedule for you, or in some circumstances can offer a refund, again at the discretion of the manager.
Late Payments/Unpaid Sessions
Holiday Club - there is an option to pay offline via our Bookwhen website, we have allowed this to enable parents to be able to pay us via tax-free childcare, however, the date payment is due is the date the booking is made. We understand that sometimes payments can take a while to clear (e.g. tax-free childcare), so if payment has not been received we require you to show proof payment has been made before your child comes through the gate.
In the event of a late payment, we will issue a late payment fee of £10 per day.
In the event of any failed payment, the late payment fee will continue to roll and we will take legal action to collect payment.
The correct clothing kit
The children's happiness is of priority to us and to enable the children to have a positive experience playing out in all weathers, therefore the correct outdoor clothing kit is important. If a child attends our sessions for the first time incorrectly dressed for the weather they may get cold, or wet, or both and remember it as a negative experience.
Dress your child for the weather, please speak to us about a specific clothing kit if you have any questions, in Winter I recommend several layers, including a thermal base layer, fleece jumper and snowsuit/waterproof top layer. We do sell some of the kit so please contact us if you are interested in this.
In Summer, long thin trousers and long-sleeved tops are recommended, along with sun hats and suncream, and appropriate shoes, wellies or appropriate trainers.
Kids Go Wild take no liability for any damage to any child's clothing when on a session with us. A change of clothes for after sessions is recommended. Appropriate footwear and waterproofs are essential, please bring a pair of wellies or snow boots.
Please be prepared that your child will sometimes come home muddy and wet, but they will have had a fabulous time with us!
Feedback and Concerns
We encourage all participants and carers/parents to give us feedback about their experience at any of our Forest School sessions. We actively encourage open two-way communication about anything that has caused or is causing concern. Feedback can be given verbally, in person, by telephone, or in writing by email.
Thank you for your understanding.
